These Terms & Conditions govern all bookings and safari services arranged through PMK Tours & Travel Ltd ("PMK Tours", "we", "us", or "our"), a Tourism Regulatory Authority (TRA) licensed tour operator based in Nairobi, Kenya. By requesting a quote, making a booking, or using planmykenyantour.com, you agree to the terms below.

1. About PMK Tours & Travel Ltd

PMK Tours & Travel Ltd is a licensed Kenyan tour operator offering private, tailor-made safari experiences across Kenya and East Africa, including accommodation bookings, ground transport, park entry arrangements, and guided game drives.

2. Enquiries and Bookings

Enquiries can be made through our website contact form, WhatsApp, phone, or email. A quote or proposed itinerary is not a confirmed booking. Your safari is only confirmed once we have received your signed acceptance of the itinerary and the required deposit, as set out below.

3. Payment Terms

  • A deposit of 30% of the total trip cost is required to confirm your booking.
  • The remaining balance is due no later than 30 days before your departure date, unless otherwise agreed in writing.
  • Accepted payment methods include bank transfer, Wise, and PayPal. Full payment details are provided at the time of booking.
  • Quoted prices are subject to change until a deposit has been received; once your deposit is paid, your quoted price is secured for the itinerary confirmed at that time.
  • Bookings made within 30 days of departure may require full payment at the time of booking.

4. Cancellations and Refunds

Because safari bookings involve non-refundable commitments to lodges, camps, and parks, cancellations are subject to the following general schedule, calculated from the date we receive your written cancellation notice:

  • More than 60 days before departure: deposit refunded less any non-recoverable supplier costs and an administrative fee.
  • 30–60 days before departure: up to 50% of the total trip cost may be retained.
  • Less than 30 days before departure, or no-show: no refund, as accommodation and services are typically paid in full to our suppliers by this stage.

Exact cancellation terms can vary by package and supplier (for example, some lodges and mobile camps apply stricter non-refundable policies during peak season), and will be confirmed in writing at the time of booking. We strongly recommend comprehensive travel insurance that includes trip cancellation cover.

5. Changes to Your Itinerary

Safaris take place in a dynamic natural environment. We reserve the right to make reasonable changes to routing, accommodation, or activities due to weather, wildlife movement, road conditions, park regulations, security advisories, or circumstances beyond our control. Where possible, any substitution will be of equal or better standard, and we will inform you as soon as practicable.

6. Traveller Responsibilities

You are responsible for ensuring that you and your travelling party:

  • Hold a valid passport (with at least six months' validity beyond your travel dates) and any required Kenya eTA/visa or transit documentation;
  • Meet any health requirements applicable to your itinerary, such as yellow fever vaccination where required for entry or onward travel;
  • Are reasonably fit for the activities included in your itinerary; and
  • Disclose any medical conditions, dietary requirements, or mobility needs at the time of booking so we can plan accordingly.

7. Travel Insurance

We strongly recommend that all travellers obtain comprehensive travel insurance before departure, covering at minimum: trip cancellation and interruption, emergency medical treatment and evacuation, and loss of personal belongings. PMK Tours does not provide travel insurance and is not liable for costs that appropriate insurance would have covered.

8. Health and Safety

Safari activities, including game drives and walking safaris, take place in a wildlife environment and carry inherent risks. Guests must follow the instructions of their guide and lodge/camp staff at all times. Participation in all activities is at the traveller's own risk, and PMK Tours is not liable for injury, illness, or loss arising from failure to follow safety instructions.

9. Liability

PMK Tours arranges and coordinates services provided by independent third parties, including lodges, camps, transport operators, and park authorities. While we select our partners carefully, we are not liable for the acts, omissions, or default of these independent suppliers, except where required by Kenyan law. We are also not liable for delay, loss, or additional cost arising from events beyond our reasonable control (force majeure), including but not limited to adverse weather, flight delays, road closures, strikes, civil unrest, or public health emergencies.

10. Travel Documents

You are solely responsible for obtaining and carrying all required travel documents, including passports, visas, Kenya eTA, and any permits. PMK Tours is not liable for any loss or additional cost resulting from a traveller's failure to hold valid or complete travel documentation.

11. Website Content and Intellectual Property

All text, images, logos, and other content on planmykenyantour.com are the property of PMK Tours & Travel Ltd, unless otherwise credited, and may not be reproduced or used without our prior written permission.

12. Governing Law

These Terms & Conditions are governed by the laws of the Republic of Kenya. Any disputes arising from a booking or these terms shall be subject to the exclusive jurisdiction of the courts of Kenya.

13. Changes to These Terms

We may update these Terms & Conditions from time to time. The "Last updated" date at the top of this page shows when it was last revised. The terms in force at the time you confirm a booking will apply to that booking.
